Make Shin-Osaka Leaders a better place for all members
Starting this year, we have changed the way club officers work together to make the club a better place for all members to learn and grow while having fun.
One aspect of the changes took the form of organizational change. Up until the last program year, the club officers were communicating with each other digitally on a regular basis. We used Facebook Messenger and Slack to discuss things to better serve the club. Starting this July, we have been holding the Club Executive Committee meetings. This is actually stipulated in the Club Constitution of Toastmasters International. Yet, with the advent of such digital communication platforms as Messenger and Slack, we did not see the need to hold regularly scheduled meetings. Daily communication via Messenger and Slack usually solves most challenges in a timely manner, making it unnecessary to have regularly scheduled meetings. We live in a busy era and if we can do away with any meeting, it's good, right?
Yet, we've changed our attitude this program year. With President Yuki's suggestion, we decided to schedule our executive committee meetings. This has proved to be great. It is true that those meetings take up a lot of time. Still, this has brought about improved communication among the officers for one thing. It has also made more possible. For example, we now review members' feedback toward each meeting, find areas we can do better, work out some solutions to those challenges, and present our plans at the end of our meetings. We now have more things done.
At this particular executive committee meeting, we talked about the challenges we've had over the last three meetings. These include how we can avoid mistakes in the agenda and how we can secure meetings are recorded without fail. (We started recording the meetings for members' educational purposes. We only share the recording among members, who then can review it for further learning. Yet, we failed to record the first part of the meeting on September 20.)
The plans the officers came up with will be shared with the meeting on October 4.
